TERMS AND CONDITIONS
These Terms and Conditions govern the legal relationship between ZenTrails GmbH as the tour operator and the customer and apply to all trips offered by ZenTrails under its own name. For third-party services – such as flight tickets, event tickets, hotel accommodations, train or boat transport etc. – the contract is concluded directly between the customer and the respective third-party provider. In these cases, ZenTrails GmbH is not a contractual party.
Participation Requirements
There are no age restrictions – all age groups are welcome. However, a round trip through Asia is an intense experience for body, mind, and soul. It requires both physical and mental resilience and a generally good state of health. Each traveler is personally responsible for assessing whether they meet the necessary requirements. Yoga retreats and Ayurveda journeys are generally less physically demanding than round trips.
By booking, you confirm that you are fit to travel. This means in particular that you can walk at a normal pace without assistive devices (such as wheelchairs, walkers, or crutches), handle your own luggage, and are not dependent on external assistance during the journey. In the interest of all participants, we reserve the right to deny participation, require a qualified travel companion, or withdraw from the contract shortly before departure or – if discovered during the trip – terminate the contract during the journey. Any costs incurred will be borne by you.
Our services are defined in the brochure or official trip description. Unless otherwise stated, the trip begins (for self-arrivals) at the destination airport upon scheduled arrival. You are responsible for arriving on time at the meeting point.
Registration, Passport, and Visa
Registration
Your booking is binding. The travel contract is concluded upon our confirmation of your online registration. By booking, you confirm that you have understood and accepted the Terms and Conditions. If the registering person books on behalf of other participants, they are responsible for their contractual obligations, particularly the payment of the travel price.
Travel Documents
Travel documents will be sent via email upon full payment. It is the customer’s responsibility to check the documents for completeness and accuracy. Discrepancies must be reported immediately. Costs arising from failure to report errors promptly will be borne by the customer.
Passport and Visa
Please ensure your passport is valid for at least six months after your date of entry and that it has enough blank pages for visa stamps. Each traveler is responsible for obtaining a valid visa for the destination country and ensuring their passport meets the entry requirements.
Payment and Cancellation – TOURS
Prices
Unless otherwise stated, all prices are per person in Swiss Francs based on double occupancy with two full-paying guests. Single rooms may be booked at a surcharge but are subject to availability. If no roommate is found, the single supplement applies.
Flight times and prices for domestic flights are based on current schedules and may change. At the time of booking, no reservations (e.g. domestic flights, hotels, transport) have been made. The offer remains non-binding and subject to availability and current prices at the time of final booking. Price changes by providers (e.g. airlines, hotels) may affect the total price.
Deposit and Final Payment

A 50% deposit is due within 10 days of booking.

The balance is due no later than 60 days before departure.

For bookings within 30 days of departure, full payment is due immediately.
Payment Deadlines and Delay
Payment deadlines listed in the booking confirmation are binding. If payment is not made on time, we may cancel the booking without further notice and charge cancellation fees (minimum 50% of total price).
Multiple Bookings
The person registering other participants assumes full responsibility for their payment obligations as if they were their own.
Cancellation Fees for ZenTrails Trips
Cancellations must be submitted in writing to ZenTrails GmbH. The following fees apply:

Up to 4 weeks before departure: 50% of total price

Less than 4 weeks before departure: 100% of total price
Travel cancellation insurance is mandatory and a condition for participation. It protects you in case of illness, emergencies, or other personal reasons requiring a last-minute cancellation.
Please note: These conditions apply only to services organized by ZenTrails GmbH. For third-party services (e.g. hotels, transport), different conditions may apply, which are outside our control.
Payment and Cancellation – YOGA RETREATS
Payment Terms

Substitute participant possible by arrangement
Travel cancellation insurance is mandatory and protects you in case of illness, emergencies, or other personal reasons requiring a last-minute cancellation.

Please note: These fees apply only to ZenTrails GmbH services. External service providers (hotels, entries, transportation) may have different terms.

Reimbursement for Valid Reasons
Cancellation fees due to valid reasons (e.g. medical issues) are usually covered by the required cancellation and travel assistance insurance.
Termination Due to Force Majeure
If the trip is severely impeded or made impossible by force majeure (e.g. war, civil unrest, natural disasters, pandemics, official orders, or denied landing rights), either party may terminate the contract. The operator may request reasonable compensation for services already rendered.
Trip Interruption by the Traveler
If you interrupt or abandon your trip voluntarily, no refund will be issued. Any extra costs (e.g. return travel) are your responsibility. If interruption is due to illness or accident, our team will assist with return arrangements. You are responsible for any associated costs. We strongly recommend travel incident insurance.
Trip Interruption Due to Force Majeure
If force majeure occurs during the trip, the operator will arrange necessary measures and return transport (if included). Additional costs are the traveler’s responsibility unless covered by their insurance.
Cancellation or Changes by ZenTrails
Minimum Participant Number Not Reached
If the minimum group size is not reached, we may cancel the trip up to 30 days before departure or proceed with a small-group surcharge. Notification is typically 5 weeks prior to departure.
Force Majeure
Should events like natural disasters, strikes, or pandemics prevent safe travel, we will inform you of the cancellation as soon as possible.
Alternative Travel
We will attempt to offer a replacement trip. If declined, any payments will be refunded. No further claims will be accepted.
Service Disruptions During the Trip
The traveler may withdraw only if essential services are not provided and no reasonable alternative is offered.
Program/Price Changes and Force Majeure
Changes to Program
Changes to itinerary, hotels, or airlines may occur. Flight delays of 1–2 days, while rare, cannot be excluded. Extra costs are borne by the traveler unless covered by insurance. Airlines often refuse to cover hotel stays in delays – such costs fall to the traveler.
Price Changes
We reserve the right to adjust prices after confirmation if needed due to:

Transport fare increases (e.g. fuel surcharges)

New or increased public fees (e.g. airport taxes)

Government-mandated price hikes or taxes

Extraordinary price increases by service providers

Currency fluctuations
Any change will be communicated at least 4 weeks before departure.

Risks, Insurance, and Liability
Travel involves risks: theft, strikes, illness, accidents, natural disasters, poor weather, terrorism, baggage issues, and delays. These are the traveler’s responsibility but can be covered by insurance.
Our prices do not include travel assistance, cancellation, baggage, accident, or health insurance. These are mandatory. Travelers must obtain proper coverage valid abroad, including search, rescue, repatriation, and cancellations.

Risky activities (e.g. trekking, boating) are at your own risk. If you act independently, you waive liability claims. Weather-related flight cancellations may cause delays.

Claim Notification
Claims must be submitted directly to the insurance provider.

Complaints
Complaints
If your trip does not meet agreed standards or you suffer damage, report it to ZenTrails immediately so we can address it.
Cultural Context
Countries like India or Sri Lanka may differ from Western comfort norms. Cultural openness and patience are appreciated.
Lost or Stolen Property
You are responsible for valuables (cash, ID, phones, cameras, clothes). We recommend baggage insurance. Note: rodents in tropical areas can damage personal items.

Liability
Exclusion of Liability
We are not liable for non-performance due to:
a) Traveler’s fault
b) Unavoidable third-party failures
c) Force majeure

Exclusion for Personal Injury and Delays
ZenTrails GmbH excludes liability for personal injury, death, illness, or financial loss. Limits follow international transport law. We do not accept liability for:

Flight cancellations/delays

Strikes, accidents, losses

Testing delays (e.g. COVID)

Damaged or delayed baggage
Schedules (cars, flights, etc.) may change due to traffic, strikes, weather, etc. Delays are not our responsibility. Please allow sufficient time for airport transfers.

Third-Party Excursions
Locally booked activities (not listed by us) are at your own risk. We are not responsible for their performance or any damage caused.

Liability Limit
Liability is limited to twice the trip price. No compensation is owed for lost vacation time or frustration.

Meals, Tips, and Medical Information
Meals and Tips
Unless otherwise specified, meals are not included. Local service staff expect tips. Plan CHF/EUR 200–500 depending on country and services.
Health and Medical Care
Consult your doctor before the trip and prepare a personal travel pharmacy, especially for tropical destinations.
Vaccinations
Check with your doctor for recommended vaccinations and preventive care.
Travel Pharmacy
Pack personal medications, painkillers, antidiarrheals, allergy remedies, electrolytes, antiseptics, plasters, bandages, malaria prophylaxis, and insect repellent.

Cultural Awareness and Clothing
Cultural Attitude
Travel requires flexibility and openness toward cultural differences and unexpected challenges.
Clothing
In India: Wear light cotton clothing, long sleeves at dusk, and modest dress (especially in temples). Cover shoulders and legs. Bring rain gear during monsoon.

Travel Advisories
Swiss travel advisories (EDA) may warn against certain destinations. We consider these advisories but ultimately leave the decision to the traveler. If you book despite a warning, we will respect and organize the trip accordingly. Liability is excluded in such cases.

Traveler Responsibilities
Each traveler is responsible for:

Purchasing required insurance coverage
Jurisdiction and Applicable Law
These terms apply to all travelers regardless of origin. Swiss law applies. Jurisdiction is in Switzerland.
